How to Choose a Thermal Printer for an F&B Business in Malaysia
Choose an F&B thermal printer by checking paper width, connection type, POS compatibility, print workload, kitchen conditions and consumable costs.

A thermal printer for an F&B business should be chosen as part of the complete order and receipt workflow. Paper width, connection type and print speed matter, but none of them proves that the printer will work with your POS device and software. Start with the wider POS-system selection checklist if the sales workflow itself is not yet defined.
Start with the job the printer must perform. Then test the exact printer, terminal, operating system, cable or network and document template before buying several units.
1. Decide what the printer will print
A receipt printer and a kitchen order printer may need different features.
For customer receipts, consider:
readable item names, totals and payment details;
QR codes or other verification marks;
an automatic cutter for a busy counter;
a compact footprint near the payment device;
a cash-drawer port if the workflow uses one.
For kitchen or preparation orders, apply the same identity and routing principles used in small F&B order management, then consider:
large, clear item and modifier text;
an audible alert or visible placement;
protection from heat, oil, steam and splashes;
reliable network delivery from the counter;
routing different product groups to the correct station.
Direct thermal print can darken when exposed to high heat, and kitchen conditions vary. If the printer will sit near cooking equipment, test the paper and enclosure in that location. In a harsh environment, compare protected thermal hardware with impact-print alternatives rather than assuming every receipt printer belongs in the kitchen.
2. Choose between 58mm and 80mm paper
Both widths are common. Epson Malaysia's current thermal-printer catalogue lists models supporting 58mm and 80mm paper, which confirms that width is a product and configuration choice rather than one universal standard.
58mm paper
It suits compact counters, mobile setups and short receipts. The printer and rolls can be smaller, but the narrow line may wrap long item names, modifiers and addresses.
80mm paper
It provides more horizontal space for quantities, prices, tax details and kitchen formatting. The printer and paper roll usually take more room and paper per receipt.
Print your longest realistic document at actual size. Include a long Malay or English product name, modifiers, discount, QR code and footer. A paper width is acceptable only if staff and customers can read the result without confusing line wraps.
Also check roll diameter and core size. Two rolls with the same stated width may not both fit the printer.
3. Understand the connection options
The interface must match the POS device and the way it operates.
USB
USB creates a direct physical connection and avoids wireless pairing. It can work well at a fixed counter with one terminal.
Check the connector on both ends, required drivers, Android USB support, power needs and whether an OTG adapter is required. A USB port that can charge a device does not automatically support the printer workflow.
Bluetooth
Bluetooth is useful where a cable would limit movement. It is not universally unstable, and a battery-powered Bluetooth printer is not automatically short-lived.
Compatibility depends on the printer profile, operating system, permissions and application. Classic Bluetooth and Bluetooth Low Energy are different connection paths. Confirm which one the POS supports and pair the device under realistic conditions.
Test reconnection after the printer sleeps, moves out of range, loses power or the POS app restarts. Also check how staff choose the right printer when several paired devices are nearby.
Ethernet
Ethernet connects the printer to a local network with a cable. It can suit a fixed kitchen or counter where several POS devices send work to one printer.
Plan the cable route, router or switch port and printer address. A reserved address can help prevent the printer from appearing at a different location on the network after a restart.
Wi-Fi
Wi-Fi can place a network printer where a data cable is impractical. Signal quality, network isolation and address changes can affect discovery.
Local network printing may continue without an internet connection if the POS communicates with the printer entirely inside the same network. Cloud printing and remote services may still require internet. Verify the exact architecture instead of assuming that every Wi-Fi printer behaves the same way.
Official manufacturer specifications show why the interface must be checked by model. A current Star Micronics TSP143IV series specification lists different variants with USB, Ethernet, WLAN and Bluetooth combinations. The family name alone does not identify the ports on the unit in the box.
4. Confirm command and software compatibility
Many POS printers use ESC/POS commands or an emulation, but the label does not guarantee that every command behaves the same way.
Check whether the exact model and firmware support:
text size and alignment;
character encoding and required languages;
QR and barcode printing;
image or logo printing;
paper feed;
partial or full cut;
cash-drawer pulse;
status reporting, such as paper-out or cover-open.
The Star specification, for example, marks ESC/POS emulation as model-specific and notes limits with some utilities and software kits. Use the POS vendor's compatibility information and a real test print, not only the printer's marketing label.
5. Compare speed with workload and reliability
A maximum millimetres-per-second number is measured under defined conditions. A receipt containing graphics or a dense QR code may print differently.
Estimate the actual workload:
receipts per busy hour;
kitchen tickets per minute;
average document length;
number of cuts;
hours powered on;
expected years of use.
Manufacturer specifications may include print-head distance, mean cycles between failure and cutter life. Compare those measures only when their definitions match. A cheaper printer without a suitable duty rating can become expensive if it fails during service.
Also check warranty coverage, local repair access and the availability of replacement power supplies and cutter parts.
6. Decide whether an automatic cutter is necessary
An automatic cutter speeds up handoff and produces a consistent edge. It is useful at a busy receipt counter or when tickets must separate cleanly.
It also adds a moving part. Confirm the cutter rating and make sure the POS can send the correct cut command. If staff print only a few short receipts, a manual tear bar may be enough.
Test the failure case. Staff should know how to clear a paper jam and continue service without pulling against the print head or cutter.
7. Check power, portability and built-in printers
A desktop printer normally needs a reliable power outlet. For a stall or event, count every plug needed by the POS, printer, router and payment device. Test the setup with the actual extension, power bank or backup supply allowed by the manufacturer.
Portable printers trade size for battery and paper capacity. Review the manufacturer's battery test conditions, charging time and replacement-battery availability.
A POS terminal with a built-in printer can reduce cables and setup time. The trade-off is that a printer fault may affect the whole terminal, paper capacity may be smaller and the built-in unit cannot be repositioned for a kitchen station.
8. Calculate consumables and operating cost
The purchase price is only part of the cost. Include:
paper roll width, length and local availability;
expected rolls per month;
labels or special paper if used;
cleaning supplies;
replacement power adapters and cables;
battery replacement for portable units;
repair downtime and a backup printer;
installation or network support.
Use thermal paper that matches the manufacturer's width, diameter, thickness and storage guidance. Poor paper can cause dust, weak output or feeding problems even when the stated width looks correct.
9. Run an acceptance test before purchase
Use the exact POS terminal and app version. Test:
device discovery or connection;
a receipt with the longest product names;
Malay and any other required characters;
modifiers and kitchen notes;
logo, QR and barcode output if needed;
cutter and cash-drawer commands;
print after device sleep or restart;
temporary internet or network loss;
paper-out and cover-open recovery;
repeated printing during the busiest expected period.
Do not accept one successful test page as full compatibility. The app must print the documents used in daily work and recover after common interruptions.
A compact thermal-printer checklist
Before buying, confirm:
receipt, kitchen or both roles;
58mm or 80mm document fit;
exact model and interface;
operating-system and POS-app support;
language, QR, logo and cutter commands;
suitable speed and duty rating;
power and network plan;
protection for the operating environment;
paper and parts availability in Malaysia;
warranty and repair path;
successful test on the real setup.
